DAFF - IAN 2025-06: NEXDOC – Changes to adding a member to a client group

Purpose

This Industry Advice Notice (IAN) is to advise Next Export Documentation (NEXDOC) users of a change in the functionality when adding client group members. 

Summary of changes and key points

From Monday 31 March 2025, NEXDOC client group functionality changed. Client group members can only be added to a client group if they have created a NEXDOC user account.

If a client group administrator attempts to add a member who does not have a NEXDOC user account, an error message will be received, as shown in figure 1:

To set up a NEXDOC user account for the first time, please register through the Online Services portal

Once the user's NEXDOC account is approved, the client group administrator can add the user as a member to the client group.

Background

Client Group in NEXDOC

Client groups consist of a client group administrator and client group members. The client group functionality allows an organisation to manage users who are using third party software to raise a Request for Export (REX). 

Client group administrator role

The individual that initially registers the organisation as a client group will automatically be the client group administrator. The administrator has permissions to manage the client group account including adding or removing members.
